Cases System Configuration


Cases Application Configuration is managed through the Configuration Utility. This tool is dynamic and has basic Boolean security settings governing users’ access to specific areas.

The Configuration Tool for Cases Application consist of the following Configuration Items:

  • Cases Activity Types. Definition of available Actions for the system. It is common to most Case Types and should not require modification.

  • Case Type Email Commands. Define email commands for the Case Type.

  • Case Types. Define specific Case Types and their related Case-Level configurations.

  • External Datasources. Create External Datasources, pulling information from the CLG (Common Language Gateway), or from systems like Entities or Cases. An External Datasource is a SQL statement which pulls data in the form of a list and makes it available in a dropdown selection.

  • Hoppers. A Hopper holds cases when they are not assigned to an individual. Define Hoppers to be available for ad-hoc user, or to associate with specific Case Types as the default Hopper for unassigned Cases of that Case Type.

  • Note Types. List of Note Types used by the system. It is common to most Case Types and should not require modification

  • Omit Alerts. Exclude certain Case Types from generating email alerts.

  • System and Reporting Codes. List of Reporting System Codes.
  • System Configurations. Do not modify.
  • System Configuration – Table. Do not modify.
  • System Configuration – Security. Provides access to the Configuration Tool for Cases.
  • Assoc Type Cascade. Configuration of field cascade for each Case Type.
  • Cases Super Admin. Provides user with Super Admin Access. Can be defined per Case Type or Application wide. User with Super Admin access will have full access (CRU) to all data within the selected Case Type or entire Cases Application. This security will supersede any data security set on the Case Type or individual Cases.
  • Due Alert. Cases Due Alert feature allows the user to send automatic due alert messages based on the configuration selected per case type
  • Case Override Security Config. Cases Override Security allows the System Administrator to override that default set up by granting Read permission to all other users as well as CRU permission to Case Assignee, Owner, or selected Entity Role.
  • Entity Role Base Assignment. It is used to setup Cost approval type for a case.

(Note: This table is used by the system to define all activity types related to Cases Application and should not be modified.)

  • ID. The ID of the item in the database, this is the primary identifier.

  • Name. Name of the Activity Type

  • Description. A short description that will be later used as Tool Tips.

  • Background. Background color

  • Foreground. Foreground color

  • System Code. System Code

  • Active. Check to activate this item and to make it live

case type email commands configuration

Cases includes an email integration with Microsoft Outlook, allowing users to create cases via email, and also to execute certain commands by replying to assignment and update emails generated by the system.

This configuration allows Power Users to do various things, sometimes at the same time:

  1. Command Only: Configure a Command to change a value in a particular field, via email, where the text entered after the command is the new value for that Field.

  2. Define a Default Value: Specify a default value for certain Fields in a Case Type when a Case is created by email. We either have to use a System Code, OR specify an Associate Type ID.

  3. Combination Command + Value: Configure a Command that changes a value in a particular field, where the value entered in the Configuration is the new value for that field.

  4. Action Command: Configure a Command to take a specified action.

  5. Action Command + Value: Configure a Command to take a specified action and also assign a certain value to a Field.
